Job description

Minnesota Inboard Water Sports is seeking a highly motivated and detail-oriented individual to join our team as an Administrative Assistant. As one of the largest boat dealerships in the state, this person will be responsible for a variety of administrative functions, including titling processing across our MN dealership locations, warranty administration, and administrative support to various departments.

Job responsibilities include, but are not limited to the following:

  • Project & Task Management: Support various departments with projects and initiatives, including tracking progress, organizing team efforts, and ensuring deadlines are met.
  • Record Keeping: Maintain organized and accurate records among various departments.
  • Confidentiality & Discretion: Handle highly confidential and sensitive information with the utmost discretion and professionalism. Maintain organized and secure physical and electronic filing systems.
  • Financial Transactions: Manage all aspects of boat and trailer sales paperwork, including billing, titling, and documentation.
  • Lending Coordination: Work with financial institutions to secure necessary documentation for boat financing for our customers, as well as lien releases.
  • Customer Closing Appointments: Complete paperwork with our customers as they come in to close on their boats. This is in-person in our Excelsior location, and done remotely with our other dealership locations. Ensure paperwork accuracy and adherence to state and federal regulations.
  • Title Management: Review, process, and follow up on boat/trailer titles, ensuring timely delivery and resolution of issues.
  • Warranty Admin Responsibilities: Working with our Service Departments, prepare, submit, and follow up on warranty claims. Reconciliation of warranty claims.

Qualifications:

  • Education: High school diploma required; Associate degree or higher is a plus; Bachelor's degree in business, finance, or accounting preferred.
  • Experience: Minimum of 2+ years in an Administrative role
  • Skills:
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Exceptional attention to detail and organizational skills
  • Excellent communication, customer service, and interpersonal skills
  • Ability to work independently and collaboratively in a fast-paced environment
  • High energy, positive attitude, and strong problem-solving skills
  • Ability to manage multiple tasks efficiently
  • Proven ability to maintain a high degree of confidentiality

  • Knowledge of state titling laws not required, but is a plus

Pay: $55,000.00 - $65,000.00 per year
