About the position

Responsibilities

  • Meet and greet guests during gallery operating hours and events
  • Provide general administrative support to all staff
  • Field and direct incoming phone and email communications
  • Handle mailings and flyer distribution
  • Maintain general office and facility oversight, manage supply/inventories
  • Update website, social media, and other online platforms as needed and requested
  • Inventory and contact listing data entry, management and distribution
  • Coordinate and support sales outreach efforts
  • Coordinate staff schedules, viewing appointments, shipping and deliveries
  • Input and order printed materials
  • Process sales transactions as needed
  • Manage policy and procedural manuals, printed files and shared digital files
  • Managed and oversight of all communication platforms, website, file sharing
  • Image and data collection, management and distribution
  • Maintain and update online platforms WIX, Artsy, Square, Constant Contact Distribution lists
  • Assist with client visits and presentations
  • Assist with gallery openings and events
  • Assist sales team with preparation and installation of exhibitions and art fairs

Requirements

  • 2+ years of experience working in a gallery, museum, or arts organization
  • BA in Fine Art, Art History, or related fields is a plus
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
  • Proficiency in Google Suite
  • Knowledge of social media platforms including Instagram, Facebook, and YouTube
  • Experience with Constant Contact and WIX platforms is a plus
  • Experience with Adobe Photoshop is preferred

  • Spanish language skills
