Confidential Secretary to Superintendent of Schools/District Clerk 

The Mahopac Central School District is seeking a highly motivated and well-organized Confidential  Secretary to the Superintendent of Schools/District Clerk. The individual offers confidential  administrative support to the Superintendent of Schools and is a Clerk to the elected members of the  Board of Education.  

Minimum Qualifications:  

? Five (5) years of secretarial, administrative, or office management experience involving the use of automated office equipment, preferably in a public school system;  

? Five (5) years of district clerk experience; 

? Proficiency in Microsoft Word, Google Documents, and other software used by the District; 

? Proficiency in BoardDocs, NYSED, and SEDDAS; 

? Excellent organization, communication, and interpersonal skills; 

? Knowledge of Records retention schedule; 

? Must have knowledge in school administration policies; 

? Knowledge of emergency response protocols in a school setting preferred; 

? Notary Public. 

Typical Work Activities: (Illustrative Only) 

? Assists the Superintendent with all aspects of correspondence, including drafting and   disseminating; 

? Attend Policy meetings and keeps Superintendent informed of any and all NYS Policy   requirements and changes; 

? Serves as Superintendent’s central calendar organizer and correspondence developer, including   letters for suspensions, hearings, memos or other necessary messages coming from the   Superintendent; 

? Attends Board of Education meetings and keeps minutes; 

? Gives required notice of all meetings of the Board of Education; 

? Keeps Board Members informed of all regulations pertaining to Board of Education meetings;

? Oversees the budget vote and the voting for the election of members of the Board of Education

? Prepares legal notices for publication as directed by the School Board; 

? Serves as Records Access Officer and ensures compliance with the Freedom of Information   Law (FOIL); 

? Acts as Notary Public for the District; 

? Participates in regional District Clerk meetings and conferences; 

? Serves as the Public Information Officer for the District; 

? Performs all the clerical and other duties customary to the office Confidential Secretary of the   Superintendent and District Clerk (such as handling official correspondence for the District and   the Board).
