The Office Manager is the center of information for a team of full- and part-time members. Confidentiality is key, and discretion is required. This onsite position is ideal for a patient, methodical, considerate, number-watching, detail-oriented individual with the ability to communicate well with others throughout all mediums.

The Office Manager oversees, directs, and manages office operations while helping in other areas of the business if/when help is needed. In this role, your responsibilities will be in the following areas:

  • Accounting: Includes payables/receivables, payroll taxes, liquor reports, liquor taxes, state and federal reports, daily sales deposit tracking, and credit card processor management.
  • Software management: Includes Microsoft Word, Excel, PowerPoint, VinNOW, Commerce7, Google Docs, QuickBooks, Outlook, and Virtual Timeclock.
  • Compliance: Focused on corporation laws and financial deadlines. Works with the Operations Manager to facilitate daily/weekly/monthly/annual decisions.
  • Business planning and quality improvement.
  • Tax planning and form management: Submits alcohol tax applications and reports. Works with the accounting firm and financial institutions regarding normal business operations. Seeks changes that offer tax advantages.
  • Financial performance: Includes identification of opportunities for operational improvements, and recommendations to enhance profitability.
  • Tracking and reporting of key performance indicators (KPIs).
  • Protecting the integrity of systems and databases as they pertain to winery operations. Assisting the Operations Manager with information technology upgrades, improvement, and troubleshooting.
  • Guarding expenses while continually searching for savings.
  • Employee handbook management: Upholding the policies and procedures of the employee manual by communicating with staff.
  • Human Resources: Assists with onboarding, resignations, and discharges. Maintains personnel files.
  • Administration of the health care plan and communicating plan information to participants.
  • Administration of the 401k retirement program and communicating plan information to participants.
  • Direct Shipping licensing and reporting for DTC sales (direct to consumer shipping) management.
  • Office Supply stocking and ordering.
  • Customer service moonlighting: Answering the business phone line. Responding to general email requests.
  • Finally, the jack of all trades: Utilizes remaining time available by helping in the areas of marketing, club management, tasting room management, and event management. Helps with large customer events.

Preferred Qualifications:

  • Two-year degree in accounting and five years of experience, all for the same company.

There are occasional meetings, but not in a way that takes the life out of the company. We prefer quick chats so that we can keep the ball rolling.

Your desk work will not be full-time after you get the hang of it. When you’re tired of looking at a computer screen, we’ll invite you to work behind the tasting bar or at the point of sale. A little people time is good for all of us, and this is a nice way to stretch the legs. It shows your co-workers that you’re willing to pitch in and helps you to understand the business better. Computers are less interesting than customers, and almost everyone coming through our doors is in a good mood. Enjoy the positive juju.
