As the face of All-Mercy, you set the tone for every client’s experience, from the first hello to the final goodbye. Your presence makes people feel welcomed, seen, and safe.</p><p><br></p><p><strong>Key Responsibilities</strong></p><p><strong>Patient Experience & Front Desk</strong></p><p><br></p><ul><li>Warmly greet all clients and visitors, creating a welcoming and calm atmosphere.</li><li>Check patients in and out; ensure forms are completed and records updated.</li><li>Answer incoming phone calls and respond to voicemails and emails professionally and promptly.</li><li>Maintain a tidy and inviting waiting area.</li></ul><p><br></p><p><strong>Scheduling & Communication</strong></p><p><br></p><ul><li>Schedule, reschedule, and confirm appointments with accuracy and empathy.</li><li>Send appointment reminders via phone, email, or text.</li><li>Coordinate provider calendars to ensure smooth daily operations.</li></ul><li><br></li><p><strong>Administrative Support</strong></p><p><br></p><ul><li>Maintain and update patient records using the EHR system.</li><li>Process payments, issue receipts, and provide billing support.</li><li>Manage incoming/outgoing mail, faxes, and deliveries.</li><li>Monitor office supply levels and reorder as needed.</li></ul><p><br></p><p><strong>Confidentiality & Compliance</strong></p><p><br></p><ul><li>Uphold HIPAA guidelines and protect patient confidentiality at all times</li><li>Report any concerns regarding safety, privacy, or workflow to the appropriate leader</li></ul><p><br></p><p><strong>Team Collaboration</strong></p><p><br></p><ul><li>Assist clinical team with administrative tasks.</li><li>Support office events, wellness workshops, and community outreach efforts.</li></ul><p><br></p><p><strong>Qualifications</strong></p><p><br></p><ul><li>High school diploma or equivalent (Associate degree or healthcare admin experience preferred).</li><li>1+ year of customer service or front desk experience (mental health or medical setting is a plus).</li><li>Strong organizational and multitasking skills.</li><li>Empathetic, respectful, and professional in all client interactions.</li><li>Comfortable with technology, scheduling software, and electronic records systems.</li></ul><p><br></p><p><strong>Why Join Us?</strong></p><p><br></p><p>At All-Mercy, you’re not just a receptionist, you’re a crucial part of a mission-driven team.
