Job Summary



Job Summary: Job incumbent is responsible for the smooth function of the tribal office and for the proper maintenance of the files. Some grant writing will be required, as well as contacting funding sources. This position must also be able to relate well to the public, have good spelling, math skills, and basic clerical skills.

Adhere to the TCC Ch’eghwtsen’ model of service and guiding principle which requires providing timely and effective service along with the ability to interact with others in a way that inspires trust and demonstrates respect, compassion and empathy.


Essential Functions

Representative Duties:
Under the direct supervision of the village tribal administrator.

1. Receiving and routing all incoming mail, typing correspondence, forms, reports, and related material as necessary.

2. Responsible for all accounts receivable, accounts payable and payroll.

3. Become familiar with grants and other funding available to the tribe; process application forms.

4. Provide information to members of the tribe and help process their applications for specific program funds.

5. Attend Council meetings, set up training for council members, post notice of meetings, prepare agenda and record minutes of meetings, and submit regular progress to the Tribal Council.

6. Participate in available training for field of duty.

7. Record and update Tribal Enrollment, continuously.

8. Assist Tribal Administrator with BIA 638 contracts and programs.

9. Become familiar with and established accounting systems that will withstand audit requirements.

10. Be capable of assuming Tribal Administrators functions in his/her absence.

Other Responsibilities:

1. Perform other related duties as assigned.


Minimum Qualifications



Minimum Qualifications:

1. High School diploma or GED equivalent.

2. Knowledge of Native culture and tribal structure.

3. Knowledge of general office procedures and ability to operate standard office equipment.

4. Must have basic knowledge of computers and be willing to become computer efficient.

5. Must be familiar with the village and be able to effectively communicate both orally and in writing.

6. Previous grant writing experience preferred.

Knowledge, Skills and Abilities:

1. Strong written, verbal, analytical and interpersonal skills.

2. Strong public relation skills a must.

3. Ability to organize and prioritize work and to meet deadlines.

4. Ability to compute mathematical calculations for budget preparation and analysis.

Supervision:
May supervise tribal staff, if requested by the Tribal Administrator.

Physical demands: Mostly sedentary position. Some travel required, Incumbent must be able to lift, carry, push and pull at least 20 pounds. Incumbent may be expected to travel. Incumbent must be able to work accurately and efficiently in a busy and sometimes stressful position.


Summation



Summary: The Tribal Office Administrative Assistant will handle day to day operations of the Tribal Office, as well as, organize meetings and contracts with Tribal Officials. Must be organized and timely. Good public relation skills are essential to working with tribal membership and general public. Must be flexible to adapt to evolving job duties. Must be able to work independently with limited supervision. Must maintain confidentiality.
