Well-known business development coaching company seeks to hire an administrative professional with exceptional client services skills. This position will be virtual for our Moraga, California office.

You will work directly with Susan Danzig. Susan Danzig is the CEO of Susan Danzig, LLC, supporting business growth and development for financial services professionals. Susan Danzig’s specialty is brand refinement, messaging, and strategic marketing to enhance a financial services business’s growth and development. Susan Danzig is a world-class business development coach for financial services professionals.

Position Overview:
We are seeking an organized and proactive virtual assistant with exceptional client service skills to support Susan Danzig and the broader team. The ideal candidate will thrive in a fast-paced, dynamic environment while contributing to our clients’ success.

Your Roles:

Perform a variety of duties to support Susan Danzig, including:

Administrative Support:

  • Manage emails, calendars, and appointments for Susan Danzig.
  • Schedule appointments with prospects, strategic partners, and clients.
  • Handle phone inquiries and communications efficiently.
  • Arrange travel plans as needed.
  • Coordinate and order gifts, cards, and flowers for various occasions (e.g., birthdays, anniversaries).
  • Manage holiday gift orders for Susan’s clients.

Technical, Sales, and Marketing Support:

  • Create payment links for programs and coaching services using 1ShoppingCart.
  • Organize and manage files through Dropbox.
  • Process contracts via Dropbox Sign, including coaching contracts and FAST Program agreements.
  • Manage user accounts for the online academy platform.
  • Create, edit, and share documents using Google Docs.
  • Process client payments through 1ShoppingCart or credit card authorization via Authorize.net.
  • Assist with building and optimizing Go High Level as needed.
  • Manage and update assessments for financial advisors using Magpai.
  • Follow up on prospects and sales leads, including LinkedIn outreach.
  • Set up and manage Zoom meetings and webinars, including registration pages and co-hosting responsibilities.
  • Create and update PowerPoint presentations.

Qualification Preferences:

  • Experience in the financial services sector is ideal.
  • Excellent grammar, writing, and telephone etiquette.
  • Extensive experience in sales and office administration.
  • Strong organizational skills and attention to detail.
  • Team-oriented, with a friendly and professional demeanor.
  • Self-starter with a “go-getter” attitude and a warm personality.
  • High proficiency with computers and a strong technical aptitude.
