Employment Type: Part-Time Employment
Work Setup:
Onsite onboarding for less than a week, followed by a transition to a remote setup.
Work Schedule: Night Shift (Following U.S. Time Zone)
Location: Eastwood, Libis, Quezon City
Salary Package: 45,000 to 55,000 PHP/Monthly (Will be paid on an hourly basis)

The Virtual Assistant will provide administrative and operational support to ensure client’s leadership team can focus on delivering IT solutions. This role requires strong organizational skills, the ability to manage client-facing communication, and the discipline to document processes clearly. The Virtual Assistant will coordinate scheduling, manage client correspondence, support project documentation, and assist with administrative functions that underpin client’s IT operations.

Scheduling & Coordination

  • Manage executive calendars, internal team schedules, and client meetings
  • Coordinate service calls and ensure preparation of meeting agendas and notes
  • Track recurring projects and milestones to align with IT deliverables

Client Communication & Support

  • Handle inbound calls, emails, and follow-ups with professionalism
  • Send quotations, proposals, and service updates, ensuring timely client response
  • Draft client correspondence, reports, and service summaries as directed

Administrative Support

  • Maintain and update documentation including service logs, project updates, and client records
  • Prepare and manage templates for quotes, proposals, and contracts
  • Organize digital files, ensuring easy access and compliance with internal standards

Operations & Reporting

  • Assist with project tracking for IT implementations, managed services, and client deliverables
  • Compile weekly progress reports summarizing completed work, open items, and risks
  • Support leadership in documenting internal SOPs for consistency and training
  • Microsoft Suite (Outlook, Excel, Word, Teams)

    Job Requirements:

    • 5+ years of administrative or virtual assistant experience, ideally in IT or professional services
    • Proficiency in Microsoft 365 and Microsoft Project
    • Strong written and verbal communication skills in English
    • Ability to coordinate across multiple teams and prioritize effectively
    • Experience supporting executives or IT service delivery teams preferred
    • Bachelor’s degree in Business Administration, IT Management, or related field preferred
