At My Left Foot Children's Therapy, we provide outpatient pediatric physical therapy, occupational therapy, and speech therapy to thousands of children every week. About the Position:

My Left Foot Children's Therapy is currently seeking an Administrative Services Specialist for our Green Valley clinic. The right person for this position will be a warm, friendly, intelligent, person with great organizational skills and good problem-solving skills, who enjoys children, has a great work ethic, is honest, and takes pride in a job well-done. The most important role of our Administrative Services Specialist is to ensure that our patients, their families, our therapists, our administrative staff, and our visitors always feel welcome, comfortable, safe, and supported.

Your Responsibilities as our Administrative Services Specialist:

· To open the clinic at 7 A.M. Mon.-Fri. and ensure that the clinic is clean, organized, and ready for our patients and therapists who will start arriving at 7:45 for their 8 A.M. appointments

· To greet our patients and their families, our therapists, and our visitors, in a prompt, friendly, and courteous manner

· To assist patients with the check-in process

· To receive copayments for services and record those payments accurately

· To thoroughly and accurately answer any questions pertaining to our services, our policies, or our mission

· To appropriately refer questions pertaining to patient accounts, insurance, copays, or other financial questions to the appropriate Patient Financial Services personnel

· To protect patients' rights by maintaining confidentiality of medical, personal, and financial information

· To promptly handle patient complaints or issues with exceptional courtesy, kindness, and respect

· To handle emergencies with professionalism, always following company policy

· To maintain clinic security by following safety procedures and controlling access from the reception desk

· To escort (and supervise) vendors coming into the clinic for maintenance or repairs

· To inspect all areas of the clinic several times a day for safety and cleanliness, and to ensure that every area of the clinic is clean, neat, aesthetically pleasing, and in tip-top shape for our patients and our therapists

· To submit a work order immediately upon notice of any hazardous condition, maintenance issue, malfunctioning therapy equipment, or damaged property directly to the Administrative Services Facilities Coordinator, and to keep a log of steps take to resolve the issue.

· To report the finding of any hazardous conditions, maintenance issues, malfunctioning therapy equipment, or damaged property to the Administrative Services Manager immediately upon notice, and to keep the Administrative Services Manager up to date on actions taken to resolve the problem, as well as the resolution of the problem

· To remedy any cleanliness issues within the clinic immediately upon notice

· To inspect the area in and around the entrance to our clinic for cleanliness, several times a day, and to remedy any cleanliness issues immediately to ensure a positive first impression of our clinic

· To take inventory of office and clinical supplies daily, and to accurately anticipate when supplies will need to be replenished

· To submit purchase orders for supplies to the Administrative Services Facilities Coordinator with ample time to prevent running out of any supplies

· To accept receipt of supplies, to record the receipt of supplies, and to stock those supplies within 4 hours of receipt

· To ensure that all materials and supplies necessary for our therapists to do their jobs effectively are always on-site, easily accessible, well-organized, and in good condition

· To assist and support our therapists with anything they need help with

· To train newly hired Administrative Services Specialists and Assistant Supervisors, equipping them with the knowledge, skills, tools, and systems necessary to perform their jobs efficiently and to the highest caliber

· To assist with special events at the Green Valley clinic

· To assist with holiday activities and holiday decorating at the Green Valley clinic

· To ensure that our patients' families always feel comfortable, cared about, and respected in our clinics

· To use exceptional interpersonal skills when interacting or communicating with My Left Foot Children's Therapy employees, patients, providers, payors, referrers, or vendors

· To serve as a role model upholding the mission, ethics, policies, and procedural standards of My Left Foot Children's Therapy

· To maintain confidentiality and respect for personal information of patients and employees of My Left Foot Children's Therapy

· To foster a culture of inclusivity, equality, and respect amongst our employees, our patients, and our community

· Will report directly to the Administrative Services Manager

Education:

· Bachelor's degree in Healthcare Administration, Business Administration, Business Management, or a related field preferred

Qualifications:

· Bilingual English and Spanish required

· Minimum of 2 years' experience in customer service

Physical Requirements:

· Seeing, hearing, and speaking

· Sitting for prolonged periods of time

· Working on a computer for prolonged periods of time

· Frequent grasping of objects

· Frequent walking, standing, and stooping

· Reaching above, at, or below shoulder level

· Lifting, carrying, pushing, and pulling objects/supplies of up to 40 lbs
