The Opportunity

We are currently recruiting for an Administrative Assistant to join our team in Sylmar, CA. In this onsite role, you will provide primary administrative support and coordination for up to two Abbott CRM Divisional Vice President(s). You will also manage special assignments and projects to ensure efficient departmental operations, while engaging with key internal and external stakeholders.

What You’ll Work On

  • Provide comprehensive administrative support to the Divisional Vice President(s) for Cardiac Rhythm Management, including calendar management, expense reporting, travel coordination, supply and equipment ordering, and meeting preparation.

  • Support CRM Finance Leadership & CRM Medical Affairs in executing goals and strategies through presentation development, communication templates, town hall coordination, job description creation, and oversight of information cascades.

  • Attend leadership meetings to capture minutes and track action items.

  • Maintain a strong understanding of daily and future business needs to align with Finance Leadership priorities.

  • Coordinate monthly global metric presentations and serve as meeting facilitator.

  • Create purchase orders for supplies, services, and IT equipment.

  • Act as delegate for expense and purchasing approvals.

  • Maintain and update the organizational chart.

  • Support facility management with onboarding needs, seating arrangements, equipment provisioning, and site access.

  • Organize office events and on-site meetings.

  • Execute applicable Quality System processes and monitor service accuracy.

  • Perform other duties as assigned.

Required Qualifications

  • High school diploma or equivalent.

  • Minimum of 5 years’ experience in an administrative support role, supporting multiple executives.

  • Intermediate to advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.

Preferred Qualifications

  • Associate or bachelor’s degree.

  • Strong organizational skills: ability to structure tasks, maintain documentation, and manage action items effectively.

  • Proven ability to multitask: capable of supporting several directors with ad hoc needs while managing daily responsibilities.

  • Executive level, Professional and approachable demeanor when interacting with employees at all levels.

  • Action-oriented: able to execute direction independently and efficiently, with proactive follow-up.

  • Strong written communication skills: able to draft emails, presentations, and business documents accurately and professionally.

  • Technical aptitude: curious, ability to learn and navigate business systems, troubleshoot issues, and escalate as needed.

The base pay for this position is $24.40 – $48.80 per hour. In specific locations, the pay range may vary from the range posted.
