Bookkeeper/Admin. – Part-Time

Pocono Heritage Land Trust, a nonprofit dedicated to land conservation in the Poconos, is seeking a part-time bookkeeper/admin to assist with financial administration and donor management. This position is 10 - 20 hours a week (flexible schedule during regular business hours, M-F). The job location is in East Stroudsburg, PA. This is a long term, part-time position. Pay rate is $17.00 per hour.

The bookkeeper/admin reports to the Executive Director and supports the board treasurer, Outreach Coordinator and Development Director.

Job duties include:

  • Become well-versed in Little Green Light, our membership database, to ensure donations and registrations are promptly and accurately accounted for:

- enter donations and event registrations (via check, Paypal or Wix) in Little Green Light

- enter donations and other revenue in QuickBooks, ensuring they are assigned to the correct account

- coordinate with the Outreach Coordinator to ensure donors receive a timely acknowledgment

- work with fundraising staff to produce reports as necessary to facilitate fundraising efforts

- print monthly donation report for board meetings

  • Utilize Quickbooks for day-to-day bookkeeping:

- deposit checks

- enter payroll charges

- manage retirement contributions

  • Manage the bill payment process to ensure bills are paid in a timely manner:

- download credit card charges

- scan and upload receipts to Box online

- update and maintain the monthly A/P list for board approval

- print checks for monthly board meetings

  • Work cooperatively with the board treasurer and other staff on continuous process improvements.
  • Assist with general office administration, including filing, organizing, ordering supplies and other duties as assigned.
  • Assist in preparation of grant applications, proposals and presentations as needed

Required qualifications:

· Valid driver’s license and a reliable means of transportation to and from the East Stroudsburg office

· Experience with QuickBooks online

· Familiarity with Paypal and other online payment systems

· Strong organizational skills and attention to detail

· Competency with MS Office and Zoom

· Willingness to learn Little Green Light (membership database), ADP WorkForce, (payroll) Wix (website), Box (cloud storage) and other software

· Ability to work with staff and board members of differing personalities and backgrounds

About us: Pocono Heritage Land Trust is a non-profit organization that has spearheaded land and natural resources protection in the Monroe County region for 40 years. We own 12 nature preserves open to the public. We are a small organization that works with community partners, government agencies, and many other groups to protect the outstanding natural places of the Pocono Mountains.

Our office is located in the Brodhead Creek Heritage Center on the ForEvergreen Nature Preserve, with walking trails, public museum exhibits, a small art gallery and fishing in the historic Brodhead Creek.

PHLT hosts a variety of events, including educational programs, guided walks, art classes and workshops, to engage and connect the public with the natural resources we love and are trying to protect.

About you: As our bookkeeper/admin., you understand that our members and donors are amazing people who make our mission possible. You have strong financial, organizational, time management and communication skills. You are detail-oriented, can handle all required responsibilities and like learning new skills. You understand that QuickBooks Online is set up a little differently for each specific business, and can get up to speed with it relatively easily. You welcome the opportunity to become an expert on Little Green Light. You are comfortable working in a small office setting, contributing as part of a team and being part of our shared success.
