The Client Onboarding Associate will assist the Onboarding Specialists in the New Business Department. This role is essential for ensuring the smooth onboarding of clients and supporting the New Business team’s operational needs. Responsibilities include managing CRM systems, tracking financial applications, scheduling client appointments, and supporting assets under management (AUM) processes. The ideal candidate is detail-oriented, organized, and has experience with CRM tools and financial tracking systems. Offering a competitive pay range from $50,000 to $65,000 annually!

 

Objectives and Responsibilities

  • Complete all New Business appointments, including Financial Planners (FPs), Insurance Specialists (ISMs), Third Party Managers (TPMs), and Annuity Processing Managers (APMs).
  • Update CRM: statuses, tier groups, meeting outcomes, advisor instructions, etc.
  • Enter new account information, notes, and documentation into CRM and financial trackers.
  • Assist with ongoing New Business (NB) projects as assigned, ensuring timely updates and completion.
  • Schedule and confirm client appointments via phone and text.
  • Greet and sit down clients for meetings with advisors.
  • Complete audit calls for client accounts as needed.
  • Update financial planning tools (e.g., Retirement Analyzer, WealthScape, and Riskalyze) before and after client meetings.
  • Manage all necessary financial trackers and ensure timely input of client information.
  • Complete the AUM process for new applications, including drafting agreements, handling Transfer of Assets (TOA), Standard Payment Instructions (SPI), and submitting Add Advisor forms.
  • Assist clients with signing AUM applications and ensure the accuracy of information.
  • Open accounts in Fidelity, assist with client signings, and complete account allocations, rollovers, and transfers.
  • Carry out advisor’s instructions based on meeting outcomes and ensure follow-up actions are taken.
  • Send meeting recaps to clients.
  • Follow up on New Business Tracker sales progress.
  • Always put the client's best interest first.
  • Stay informed on industry regulations, compliance, and tax law changes.
  • Pursue ongoing education to enhance financial knowledge.
  • Other relevant duties and responsibilities as needed.

Experience 

  • 1+ years of experience in a wealth management or financial role
  • Preferred licenses: SIE and 2-15 (sponsorship available to obtain)
  • A strong background in finance, wealth management, or related fields, with an understanding of financial products such as annuities, life insurance, and investment accounts.
  • Bilingual in English and Spanish with strong verbal and written communication skills in both languages
  • Strong attention to detail and accuracy 
  • Excellent interpersonal skills with the ability to establish rapport and trust with clients
  • Must be a go-getter, team-player, and hungry for knowledge and growth!
  • Tech-savvy with the ability and willingness to learn new systems, softwares and processes
  • Proficiency in data entry with a high level of accuracy and attention to detail.
