Job summary

The Lindley Village Surgery is situated in the heart of Lindley with 5,600 patients; we are a training practice offering a variety of services to our Practice Population. We are looking to recruit a Reception Team Leader to join our friendly team and to assist with the smooth running of the Practice. The purpose of the role is to offer general assistance to the practice team and project a positive and friendly image to patients and other visitors

Flexibility is required to cover the surgery’s 8:00 am-6:30 pm opening hours Monday-Friday, plus extended access early openings and late closure extended access hours. Also to cover for annual leave and sickness. The shift pattern will be discussed at interview.

Main duties of the job

The main duties will be to provide face to face first point of contact for patients and to act as a focal point of communication between patients, doctors and other medical staff. You must answer the telephone, book appointments and other related tasks.

Person Specification Experience

  • Previous medical receptionist GP practice experience - Minimum 3 years Essential
  • Medical System (SystmOne) Experience - Essential
  • Leadership experience in a GP Practice - Minimum 2 years Essential

The successful candidate must be proficient in System One, have at least 3 years previous GP receptionist experience, the ability to multi-task. You must be proficient in reading and writing English and have a good understanding, acceptance and adherence to the need for strict confidentiality. You must be willing to undergo a DBS check.

Pay ÂŁ13.55 per hour

Key Responsibilities

Monitor and oversee the reception team ensuring that they work to the highest standards whilst undertaking their role and ensure that poor performance is dealt with in conjunction with the Practice Manager as necessary

Ensure that the reception team uphold professional behaviour at all times and take appropriate action when behaviour falls below the expected standard.

First point of contact for all members of the receptionist team for any problems or training issues

New starter ‘buddy’ for induction

Ensure that all reception staff are undertaking their role in a consistent manner.

Ensure that all reception staff are complying with policies and procedures.

Overview the scanning process on reception and ensure that this is completed promptly and regularly

Delegate and overview administrative processes as instructed

Responsibility for maintaining the Clinical rotas

Work closely with the Practice Manager to ensure reception staff training needs are met and review staff performance on a regular basis

Reception

Receiving and directing patients

Handling telephone and general enquiries

Making appointments and taking requests for home visits (where applicable)

Taking messages

Processing all forms of communication relating to patients

Ensuring work areas are tidy

Cash handling

All forms of data entry and recording relating to patients, including scanning, prescriptions and tasks

Assisting with the onward management of patients as required

Assisting clinicians as a chaperone where required

Providing administrative support to clinicians and managers within the organisation

Follow and adhere to Health and Safety procedures

Any other delegated duties considered appropriate for the post

Communication

Communicate effectively to deliver excellent customer service to patients

Promote effective teamwork with all staff

Provide appropriate communication to identify problems and solutions promptly

Provide clear communication to ensure effective delegation of tasks

An understanding, acceptance and adherence to the need for strict confidentiality
