Job Summary
We are seeking a highly organized and professional Receptionist/Secretary to join our team. The ideal candidate will be the first point of contact for our customers and visitors, providing exceptional customer service while managing various administrative tasks. This role requires a proactive individual with strong communication skills and the ability to multitask effectively in a fast-paced environment.

Duties

  • Greet and assist clients and visitors in a friendly and professional manner.
  • Manage incoming and outgoing calls using phone systems, scheduling or taking messages as necessary as well as calling for part pricing.
  • Perform clerical duties such as filing, data entry, and maintaining office supplies.
  • Schedule appointments and manage calendars for staff members, ensuring efficient use of time.
  • Assist with office management tasks, including maintaining a clean and organized reception area.
  • Utilize Microsoft Word, Excel and Outlook for document/invoice creation, email communication and invoice tracking
  • Support administrative functions by preparing reports and handling correspondence as needed.
  • Manage financial records using QuickBooks for invoicing and billing purposes.

Qualifications

  • Proven experience as a receptionist or in other administrative roles is preferred.
  • Familiarity with phone systems and office management software is essential.
  • Strong organizational skills with attention to detail to manage multiple tasks effectively.
  • Excellent verbal and written communication skills to interact professionally with clients and colleagues.
  • Proficiency in Microsoft Word and Excel
  • Experience with QuickBooks is desirable but not mandatory.

Pay: $10.00 - $15.00 per hour
